Data Deletion

Your data is yours, and that includes the right to have it removed. This page explains how to ask, what goes, what we are required to keep, and how long it takes.

1. What gets deleted

When we act on a deletion request we permanently remove:

  • Your user account — name, mobile number, email and sign-in credentials
  • The society's schema, if the society itself is closing — member and unit records, documents and KYC proofs, bills, payments, complaints, minutes, notices, visitor entries and accounting records
  • WhatsApp connection data — the stored Meta access token, the number configuration and message history held in our system
  • Google sign-in data — the tokens and profile data obtained when signing in with Google
  • Communication history — the email and SMS delivery log for your account
  • Uploaded files — documents, photographs and anything else stored against the account
  • Activity logs — sign-in history and audit records tied to your account

If you are one of several committee members, deleting your user removes your personal data. The society's own records stay, because they belong to the society and not to you.

2. How to ask

By email

Write to [email protected] with the subject "Data Deletion Request", from the address registered on the account, and tell us:

  • Your registered email or mobile number
  • The society name
  • Whether you want your own user deleted or the whole society closed

Through Meta

If your society connected a WhatsApp number through Facebook, you can also remove the app from your Facebook settings, under Apps and Websites. That signals us to delete the associated tokens and configuration.

We acknowledge every request within 48 hours.

3. How we verify you

To stop anyone deleting a society out of spite, we verify before acting:

  • For an emailed request, we send a one-time password to the registered mobile or email
  • To close an entire society, we require confirmation from an administrator of that society
  • Where a resident asks and the record belongs to the society, we route the request to the society's committee, who decide under their own bye-laws

We will never ask for your password, a government ID or card details as part of verification.

4. What we keep, and why

Some things we cannot delete on request:

Tax and accounting

Invoice and transaction records are kept for as long as Indian tax law requires, and are then deleted.

Fraud prevention

A non-reversible hash of the email address, kept briefly so a closed account cannot be used to abuse sign-up.

Backups

Deleted data may persist in encrypted backups until those backups rotate out on their normal schedule. Backups are encrypted and are not individually searchable.

Aggregate figures

Anonymised counts that cannot be traced back to any person or society.

Everything else is deleted permanently.

5. Timelines

  • Acknowledgement — within 48 hours
  • Account deactivation — within 24 hours of confirmation, after which the account cannot sign in
  • Personal data — removed within 7 business days
  • Society schema — dropped within 14 business days of a confirmed society closure, after the export grace period in our Terms
  • Third-party connections — Meta tokens revoked and WhatsApp configuration removed within 14 business days
  • Backups — residual copies disappear as backups rotate
  • Tax records — kept for the statutory period, then deleted automatically

You can cancel a deletion request by emailing us before the processing completes. Once it is done, it cannot be undone.

6. Data held by others

Meta / WhatsApp

We delete the access token, the number configuration and the message log held in our system. Messages already delivered to a resident's phone are on their device and on Meta's servers, under Meta's retention policy, and we cannot remove those. To cut our access at Meta's end, visit your Facebook settings and remove the app.

Google

We delete the sign-in tokens and profile data we hold. To revoke our access at Google's end, visit your Google account permissions page.

Razorpay

Payment records are held by Razorpay under their own policy and Indian financial record-keeping rules. We can ask them to remove a stored payment method; transaction records have to stay.

SMS and email

We remove your number and address from our sending queues. Delivery logs held by MSG91 or by the mail relay follow their own retention policies.
